My client are a prestigious government organisation based in Hampshire. The primary function of the post holder will beto provide PA duties to the Deputy Director.
This will require you to provide a confidential, dedicated administrative support service to the director, assisting in managing his office productively, effectively and efficiently. This will include, amongother tasks, managing his inbox, calendar, meeting logistics, and travel arrangements effectively and assisting him in managinghis corporate responsibilities effectively. You will be required to prioritise effectively, plan ahead and develop good workingrelationships with a variety of stakeholders.
The position will be a full time 4 month initial contract, paying £14.92 per hour (equivalent to a 23K salary)
Responsibilities include:
1 Taking the lead as the Deputy Director's (DD) first point ofcontact.
2 Managing the DD's diary, ensuring the effective and efficient use of their time, managing changes and conflicts, negotiating and working with others as necessary.
3 Working professionally and proactively to manage relationships.
4 Supporting in the arranging of business meetings, conferences and, when possible again, away days.
5 Monitoring actions and risks assigned to the DD.
6 When COVID-19 restrictions allow, organising travel arrangements, including itinerary planning, flights, rail, car hire, hotel and other accommodation and managing expense claims as appropriate.
7 Providing other business support to the wider team as necessary.
8 Accurately creating and managing documents based upon drafts supplied by senior managers.
