Description:
Myclient in Newport, South Wales are seeking an Business Support Officer/ Personal Assistant on a 3 month contract basis, paying £14.66 per hour. The role is is full time (37 hours per week - flexi-time)
Key Responsibilities
* Provide confidential Deputy Director support within PBS, ensuring effective office management, and working as part of a wider Business Support team to deliver for the wider directorate.
* Administrative support, including proactively managing inbox and calendar, meeting arrangements including awaydays, events and internal/external meetings/conferences, collation, printing and presentation of meeting papers, raising requisitions, arranging travel (including overseas), accommodation, car-hire and expenses claims for a Deputy Director, covering for others in the team where required.
* Manage interaction with a range of stakeholders across the organisation and externally ensuring channels are handled in a professional manner.
* Support Directorate-wide queries by acting as a conduit between the Director's Executive Assistant and the Deputy Director you are supporting and feeding back as appropriate.
* Organise, manage and support meetings and events as required. Including minute taking, preparing and circulating the agenda and minutes, obtaining updates on previous action points, supporting the preparation of briefing papers and documentation for specificpackages of work, and ensuring papers are available for attendees in a timely manner.
* Supporting delivery of communication activity for the division you are supporting, helping PBS to maximise our impact through effective communication and marketing with the aim of raising the profile of PBS across the organisation.
* Supporting, and covering as appropriate for other team members to ensure continued delivery.
Person Specification
Essential Criteria
* Excellent organisational and prioritisationskills, with the ability to work effectively across a range of tasks, reprioritising as required to deliver to tight deadlines.* A clear and demonstratable ability to work at pace.
* Strong oral and written communication skills, as well as excellentinterpersonal skills with a proven record of establishing, building and maintaining strong, collaborative and productive relationships across boundaries.
* The ability to manage a complex diary and inbox with autonomy whilst considering impacts on the wider directorate. You will need to use judgement to take forward actions on behalf of the Deputy Director you are supporting as appropriate.
* Must be flexible, with proven experience of working with colleagues to deliver.
Desirable
* Experience of working as a PA to a senior leader is preferable.
* Experience of event management with internal and external suppliers.
*Experience of working in HR and is working towards or has CIPD level 3 or above.
