Are you an experienced Office Manager/Executive Assistant looking for your next exciting opportunity? Fantastic growing company in London with a strong presence in the UK, Europe and the US is looking for an Office Manager/Executive Assistant to join their team.
Job Description:
* Support the Managing Director for business and personal matters, with appointment setting, calendar management, travel arrangements, and correspondence.
* Assist inboard and founder relations, including scheduling, document preparation, and logistics for board meetings.
* Process Managing Director expenses and reimbursement claims.
* Coordinate staff meetings, take and disseminate meeting notes.
* Provide support to all departments, by gathering, and sharing required information to the relevant teams
* Follow up on deliverables and projects performance
* Record and gather reports from all departments and teams, based on the timeline and deadlines agreed with internal teams and third parties and share with the Managing Director
* Mention proactively any failure of the roadmap and timelines agreed to the Managing Director.
* Oversee and proceed with any pending matters, follow up for responses required either from internal teams or third parties.
* Support all staff with recruitment - including the co-ordination of the entire process, advertising where appropriate, shortlisting, arranging interviews, etc.
* Manage absence record-keeping.
* Assist the Finance Manager, with the collation and recording of invoices.
* Assist the Finance Department with the maintenance of staff personnel files.
* Assist the Finance Manager with financial record keeping where required. Perform receptionist duties: answering the phone, taking messages, filing mail processing,and office cleanliness and presentation.
* Run errands, manage supplies, and all relevant vendor relations.
* Support data entry in donor management software.
* Problem solve any technical challenges with computer systems, email, and networks as needed.
* Coordinate the hiring of interns.
* Ad-hoc updates to the employee handbook and associated organizational policies andprocedures.
* Assist with recruitment of staff and maintenance of personal files & benefit plans.
Experience Required:* Undergraduate degree (preferably related to international development, politics, human rights).
* At least two years ofprofessional work experience (internships qualify).
* Outstanding oral and written English communication skills.
* Excellent numeracy and MS Office (specifically Excel) skills.
* Ability to work in a Mac office environment.
