Description:
The RoleMy client, a private clinic based in South Dublin, is seeking an experienced administrator to join their team. This is a full-time, permanent, office-based position. As the Administrator, your role will be pivotal in ensuring the smooth operation of theclinic. You will be required to work one - two Saturday's per month so flexibility is imperative.
Tasks & Duties* Collaborate within the administration team to offer comprehensive support to patients and clinic staff.
* Welcome patientsduring check-in and address inquiries via phone, email, or Intercom promptly and courteously.
* Efficiently schedule appointments, including general check-ups, post-op visits, and surgical bookings as per patient or medical team requests.
* Provide detailed information to patients regarding procedures, costs, and pre/post-operative instructions.
* Manage consent forms and referrals by scanning and attaching them to patient files, utilising electronic signature tools when applicable.
* Create new patient files, input demographics, and attach medical history forms using Formstack.
* Set up recall reminders for future appointments to ensure continuity of care.
* Serve as the primary communication channel between patients and the medical team for queries and concerns.
* Handle typing, editing, and distribution of letters and referrals promptly and accurately.
* Coordinate referral reviews by the medical team and arrange patient appointments accordingly.
* Process payments for procedures and consultations, including completion of medical insurance forms.
* Manage incoming and outgoing mail, including monitoring Healthmail for referrals and correspondence.
* Procure necessary supplies, arrange couriers, and oversee orders for stationary and other items.
* Compile and organise surgery lists, including arrival times, procedure details, and costs.
* Conduct daily andweekly banking tasks to maintain financial records accurately.
Knowledge, Experience & Qualifications
* Previous experience in a busy office environment.
* Outstanding interpersonal skills with excellent communication both verbal and written.
* Customer centric with a focus on service delivery.
* IT skills with proficiency in MS Office.
* Candidates must currently reside in Ireland with full working rights.
