Birmingham, West Midlands (commutable from Solihull, Coventry, Redditch, Walsall, Wolverhampton, Worcester, Tamworth)

My Client are an NHS Trust based in West Midlands and are seeking a Executive Assistant on an initial 4 month contract basis (37.5 Hours) Paying £158 per day (Inside IR35).

Job Summary

* The post-holder will provide a comprehensive business support service to the Executive Director(s) and assist the Executive Team in achieving the I C B ' s aims and objectives maintaining the highest standards of customer care at all times. Each EA will support (a) named Director(s) but will be expectedto provide flexible cross-cover for EA colleagues as required.
* The post holder will provide a quality and responsive personal assistant service including complex diary management and extensive minute taking, therefore all applicants must be highly experienced and confident in minute taking up to and including Board level.
* This department is very busy and the work, at times,very pressurised, particularly when having to arrange urgent meetings and minuting unexpected meetings. The post holder shouldbe adept, confident and flexible to meet the ever-changing demands.
* You will need to be able to use your initiative and planyour own workload in a way that supports the Executive Management Team and the wider team. Therefore, it is essential that a close working relationship and cover arrangements exist between the post holder and other Executive Assistants supporting other members of the Executive Management Team to ensure a seamless service is provided at all times.
* In addition, you will be expected to exercise judgement and initiative when communicating with other senior managers, Trusts and outside agencies, and to actas a focal point for queries on behalf of and in the absence of the Executive Director(s) you will be supporting. A confident and engaging telephone/email manner and the ability to act in a proactive manner are essential. The role will involve working independently, supporting the Executive Director(s) in managing complex relationships with external and internal stakeholders and will require a significant level of interpersonal skill.
* At all times the post holder will be dealing with matters of a highlyconfidential and sensitive nature which should not be divulged to another or discussed with other colleagues unless absolutelynecessary. The post holder must be comfortable working with varied professional groups.

Experience

Essential

* Substantial experience of working at a similar level
* Substantial experience of formal high level minute taking
* Experience of working with Senior Managers, Executives and Boards.
* Experience and knowledge of administrative procedures

Desirable

*Experience of line managing staff Previous NHS or public sector experience
* Previous NHS or public sector experience

Qualifications

Essential

* Evidence of continuing professional development

Desirable

* Further or higher education qualification (A level or degree level)

Skills/Abilities

* High standard of computer skills including highly proficient use of Outlook and Word. Competence in Office 365, Excel and PowerPoint.
* Project management skills
* Excellent verbal and written language and proof reading skills.
* Ability to produce error -free documents, including correct spelling, punctuation andgrammar.
* Ability to compose a wide -range of written communications, including analysing and summarising information
* High level skills for communicating complex and sensitive information with a broad range of contacts including Director(s) , clinical staff, patients and members of the public.
* Negotiating, networking and persuasive skills
* Excellent planning, prioritising, organisation and time management skills
* Attention to detail
* Putting the long -term health, social care and well -being needs of the population first ("system first")
