Part Time ExecutiveSupport - Tullamore, Co. Offaly

FRS is seeking to recruit an Executive Support on a temporary contract for an initial periodof two (2) months. The successful candidate will report to the Financial Controller and have a strong dotted line to the Head of Corporate Services/Company Secretary.

The successful candidate will be responsible for the following:

* Company Secretary and Board - to provide support to the Company Secretary and the Board fulfilment of its duties with regard to the filing ofb1's, b10's and the keeping of appropriate board registers.
* Board and Sub-Committee meetings - providing secretariat supportfor board and sub-committee meetings through meeting notification, collation and circulation of meeting papers, preparing draftminutes and other ad hoc duties as appropriate. Support the Executive lead on each Sub-Committee to drive consistency in quality of papers and annual workplans.
* Board and Sub-Committee ad hoc support - providing ad hoc support to the CEO and Company Secretary with other board and Sub-Committee matters including logistical diary and venue management of board and sub-committee training days.
* AGM Process - supporting the AGM process with regard to documentation, secretarial support and venue management.
* Executive Management Team (EMT) - supporting with EMT and Senior Management Team (SMT) meeting minutes and other ad hoc duties as they arise.
* Work in conjunction with the Head of Corporate Services to document the Organisation's compliance withthe Charity Regulator Authority (CRA) Code of Governance and collate the supporting documentation annually.
* Manage the capture of information for the Lobbying Register and submission within agreed timelines.
* Provide support to managing and collating the Organisation's Risk Register and accompanying supporting documentation.
* Support the procurement compliance process inconjunction with the Finance team.
* Completion of all governance paperwork such as CRO, CRA annual reports, anti-money laundering regulations and PCI compliance
* Support the Organisation's Internal Audit programme as required.
* Record all fundingagreements in the funding and grant register online file.
* Collate all funding service level agreements and store in soft copy on shared Executive drive in appropriate format (e.g. S39, Dormant Accounts).
* Support the grant and agreement applicationprocess by acting as the central repository for information which is used as part of the process.
* Review monthly grant expenditure to ensure its in keeping with terms and conditions of grant agreement

Role Criteria: The successful candidate should possess the following qualifications, skills & experience:

* Must be educated to Leaving Cert level (or equivalent) and pursued further studies in Office Administration, Business or another relevant discipline.
* At least 3 years' experience working within a busy office environment is essential.
* Strong IT aptitude essential with advanced MS Office skills, especially inMS Word and MS Excel.
* Experience of liaising with Senior Management and Board members is required.
* Has previously worked in a highly confidential environment.
* Fluency in English, written and verbal.
* Full drivers licence with access to ownvehicle.

Terms & Conditions: Temporary Contract (Two (2) months)/14.5 hours per week - flexibility is required
