Description:

*** In partnership with the HSE Mullingar & Longford ***
I am currently looking for a Clerical Officer Grade V to join a busy team in Mullingar, Co. Westmeath, you will be asked to support services in Longford also.

This is a full time temporary position on month to month basis.

THE ROLE:

* Complete tasks/actions identified by the Team Managers
* Supporting/managing administration teams in preparing for monthly meetings, this includes scheduling, attending and following up as appropriate.
* Supporting/managing administration team monthly Referrals Forum, this includes scheduling, preparing and following up as appropriate.* Supporting risk assessment completion in line with policy
* Gathering, recording and returning the relevant metrics and performance related activities as appropriate.
* Prepare HR forms and paybill forms for staffing in the department and maintainingrecords of same.
* Supporting recruitment, completion of Paybill Forms and agency recruitment as relevant.
* HR/Outsourcingwith agencies/private practitioners in line with National Financial Regulations.
* Supporting the processing of team Time Returns/HSE self service as appropriate
* Supporting the management of attendances to the network teams
* Oversee meetings andcommunications and ensure a tight process is in place with regard to follow up and logging of actions
* Supporting Assessmentof Need process.
* Supporting administration team members on workloads and capacity.
* Supporting Health and Safety in linewith Safety Files.
* Dealing with Freedom of Information (FOI) queries.
* Dealing with Data Protection queries.
* PrepareComplaint responses in line with HSE complaint process and response timelines.
* Prepare Parliamentary Question and Representative Responses in line with HSE process and response timelines.
* Participating in other duties that may be assigned due to developing departmental requirements

REQUIREMENTS:

* Previous HR / senior admin / senior assistant / PA experience essential
* Must have strong organisational, communications and interpersonal skills
* Must understand and have a knowledge of GDPR and FOI policies and regulations
* Must have a good diary management skills
* Must be a team player, have supervisory skills and experience
* Immediately available
* Excellnt IT
