As part of our roadmap for growth, we're now looking to enhance oursupport team by hiring an experienced Office Manager who will work closely with the Managing Director and will take responsibility for the smooth running of the business. The role will encompass; General Office Admin, Finance, HR & IT Management.
This is an excellent opportunity for a forward thinking and driven individual who wants to join a growing and ambitious business.THE OFFICE MANAGER ROLE:
* Reporting to the Managing Director, responsible for ensuring the smooth running of the office* Preparing weekly sales invoices and inputting purchase invoices onto the system
* Assisting the Managing Director with (and ideally undertaking full responsibility for) the management of finance for a small business, including; Expenses, Bank Reconcillation, Forecasts, Payroll, VAT Returns and general compliance (Volume of work equates to approximately 0.5 to 1 day per week)* Resolving basic IT Issues within the office and escalating to external suppliers when required
* Reporting technical issues to external IT / Software providers and ensuring a full resolution
* Acting as the Central 'Super Admin' contact for all software, handling password resets, quota re-allocation, advert approvals and more
* Handling GDPR data removal requests and ensuring high levels of compliance
* Providing assistance to the Marketing team as and when required with such activities like Email Marketing Campaign Management
* Management of the HR Software, updating records and requesting information as required
*Attending internal HR meetings to take notes and update HR files
* Supporting the Managing Director with intenral recruitmentpricesses
* Preparing weekly reports for the Sales Manager on KPI activity
* Creating of offer letters & contracts of employment, enrolling new starters on the system and ensuring a positive onboarding experience
* Setting up new laptops, mobilephones and other accessories required for new starters
* Management of the office fire, health & safety compliance, suchas; annual risk assessments, monthly checks, DSE assessments and reporting issues to the landlord
* Booking team social activities inline with the plan agreed with the Managing Director]
* Managing the relationship with the external cleaner to ensure they're paid and that a high standard is being achieved
* Ordering supplies such as stationery, drinks for the communal fridgeand kitchen supplies as required
* Meeting & greating visitors, handling deliveries and post
* Maintaining high levels of confidentiality at all times
THE PERSON:
* Must have experience as an Office Manager or have held a similar position, ideally within a recruitment agency environment
* Experience of Finance such as creating Sales Invoices, inputting Purchase Invoices, General Bank Reconcillcations is essential. Any accounting qualifications such as AAT would be an advantage
* Confidentaround IT / Technology and be able to communicate with external providers
* Must be able to demonstrate a high level accuracyand confidentiality
