The Role
My client, a well-established manufacturer is seeking and experienced Personal Assistant/Administrator to join their team based in Westmeath. This is a full-time, permanent, office based position.

Asthe Personal Assistant/Administrator you will provide administrative support to the Managing Director and sales team. You willalso be responsible for processing and managing sales orders for customers, providing excellent customer service in the process.Tasks & Duties
Personal Assistant Duties

* Provide proactive secretarial and administrative support to the Managing Director, including scheduling meetings, making travel arrangements, and preparing documentation.
* Take and type up meeting minutes, coordinate post-meeting correspondence, and manage agenda distribution.
* Act as the primary point of contact for the Managing Director, managing inquiries and communications effectively.
* Maintain accurate filing systems, manage the MD's diary efficiently, and undertake specific projects as directed, including sensitive and confidential tasks.



Customer Service/Administration Duties

* Manage Sales Representatives, supporting them with lead management and achieving sales targets through daily/weekly liaison.
* Provide excellent customer service both on-site and through online platforms like Shopify, engaging with existing and new customers, and identifying sales opportunities.
* Open and maintain customer accounts, process and track orders, provide costings, issue invoices, and handle payments and outstanding balances.
* Coordinate with courier anddelivery services to ensure timely order fulfilment and manage weekly follow-up on any outstanding debtors.
* Address customer queries and complaints promptly, offering appropriate solutions, and revising processes to prevent recurrence.
* Maintain financial accounts, provide monthly sales reports to the Managing Director, ensure compliance with security and safety proceduresfor on-site visitors, and meet set sales and customer service targets.



Experience, Knowledge & Qualifications

*Proven experience as a Personal Assistant/Executive Assistant or Senior Administrator, with demonstrated ability to provide proactive and efficient secretarial and administrative support.
* Demonstrated ability to effectively manage schedules, coordinatemeetings, and prepare necessary documentation.
* Experience in managing customer accounts, processing orders, and providing high-quality customer service is highly desirable.
* Excellent communication and interpersonal skills, with the ability to effectively liaise with colleagues, clients, and stakeholders.
* Excellent attention to detail with strong organisational and multi-tasking skills.
* Candidates must currently reside in Ireland with full working rights.
