Receptionist Administrator / Student Services

The role of the Receptionist Administrator / Student Services is to work closely with the Operations Manager, the Director of Studies and other key members of the team to supportstudents while attending programmes. The role is a front-of-house position and based on reception.
The Receptionist Administrator / Student Services Responsibilities and Duties:
* To represent the company as front-of-house, Answer the phone and Welcome visitors and Students.
* To set up / clear up conference facilities
* Run simple work related errands for senior staff members
* Monitor stock and place purchase orders
* Be responsible for the student experience from arrival to departurewith a focus on providing an excellent quality of service throughout
* To ensure that all relevant information is collected and updated for the delivery of school services. This includes but is not limited to; flight details, contact details, test results, identification
* To ensure that students' personal, enrolment, financial and course details records are accurate and up-to-date
* To ensure student arrival status is accurate and up-to-date
* To collect and act upon student feedback, escalating to Management as appropriate
* To act upon student complaints, escalating to Management as appropriate
* To advise students on their eligibility and options to make changes to their programme/accommodation including their fees
* To liaise with the accommodation team regarding availability requests
* To liaise with academic management regarding requests to curtail, extend orchange student courses.
* To ensure that bookings are made in line with the school's availability of services
* To liaise with the Sales and Marketing teams to be fully informed of the school's offerings including partner rates, new programmes, specialoffers etc
* To assist the Sales Ledger Clerk with the collection and allocation of student fees
* To facilitate changes toa student's accommodation placement and liaise with stakeholders
* To allocate students to residence accommodation where there has been a change to their booking post-arrival
* To ensure residence allocations are made in line with the provider's availability and the student's booking
* To provide pastoral support for students on adult programmes (e.g. opening a bank account,finding a GP etc)
* To liaise with the Young Learner Coordinator about any pastoral matters relating to students under the age of 18
* To liaise with academic management regarding students with low attendance
* To provide cover for the administration team during absence/leave at the direction of the Operations Manager
Other :
* To be trained to Safeguarding Level 1 (Basic Awareness)
* To attend in-company safeguarding training & participate in steps raising staff awareness of the company's legal duty of care to under 18 students and vulnerable adults
* To demonstrate an ethos of excellent customer service andprofessionalism
Essential skills & Experience
* Administrative experience of at least 2 years
* Ability to multitask/work in a busy, fast-paced environment
* Excellent numerical skills
* Good command of English Language, both written and verbal
Desirable skills & experience
* Experience of working in the language school industry
* Customer service experience of at least 2 years
* Fluency in a language other than English
