Description:
Receptionist / Office Assistant
Location - Godalming
Salary - up to £20,000 per annum
The primary functionof the post is to ensure that all calls and visitors (internal and external) are treated with equal respect and importance andprovide the first point of contact for all office facilities issues ensuring compliance with our office security measures. Provide the first point of contact to assist with any office queries and tasks that other members of staff require help or guidance with.
Facilities Responsibilities
The main responsibilities are detailed below, although the post holder would also be expected to perform any other duties which might reasonably be required by the business
* Answering Switchboard and qualifying calls, either putting through to appropriate person, Voicemail or taking a message
* Answering the Buzzer for the front door andgreeting visitors and new starters in Reception signing them in, informing appropriate member of staff
* General Admin dutiesi.e. data inputting, franking post, opening morning post and distributing, sending/distributing payslips
* Taking deliveries and arranging TNT shipments (internal post to Germany)
* Raising Purchase Orders to send to third party providers for internaloffice requirements (Purchase Orders for Marketing/IT/License Renewals etc)
* Updating the Bid Tracker spreadsheet and monitoring the Bid inbox.
* Booking taxis for visitors to Godalming
* Meeting room management
* Booking lunches as required for internal meetings
* Ordering supplies for the offices; and managing the onlineSainsbury's account
* Stationery
* Tea, coffee, sugar, milk, soft drinks etc
* Coffee machine management
* Office contact and liaison with the landlord on the following issues as they arise:
* Faulty toilets, lights etc
*
* Air conditioning / heating
* Internal & externaldrainage
* Office cleaning
* Parking
* Taking photos of and creating ID badges for new starters
* Ordering long service awards and ad hoc gifts/flowers for staff (new baby, get well soon etc)
Health & Safety Responsibilities
With the assistance and guidance of the H&S Committee:
* Ensuring all HSAW obligations are met, first aid, fire, DSE assessments etc* Attending quarterly HSAW committee meetings
* As a fire warden, being aware of and actioning any fire hazards, monitoringmaintenance of fire extinguishers and helping with fire drills.
HR Responsibilities
To assist the HR Manager with ad hoc administration, including but not limited to:
* Arrange pre-employment online assessments
* Take up employment references for candidates
* Ensure DSE Workstation Assessments are completed
* Arrange Group Induction Day, liaising with all attendees and presenters, arranging refreshments and lunch
* Update Training Records with regular liaison with line managers
* Assistance with interview arrangements
