An excellent opportunity has arisen for an experienced Facilities Specialist to join an amazing organisation who are a pivotal leader in electronic design, building upon more than 30 years of computational software expertise.

Below is an insight into the tasks that this role will be responsible for, this list is not exhaustive and due to the nature of this role the candidate must be flexible and adaptive.



Job Responsibilities:

* TheFacilities Specialist is responsible for reception duties, both telephone & face to face along with ensuring the site runssmoothly with adequate supplies.
* This role also involves the completion of all administrative tasks such as; visitor's log,access badges, raising of PO's, etc. in an accurate & timely manner.

* Maintain the front desk & reception areas aswell as the external meeting room / conference room
* Telephone answering, message taking, referral to appropriate Business Units / Functions
* Helping maintain workplace security by issuing, checking & collecting badges as necessary & maintaining visitor logs.
* Provide general administrative duties to include, but not limited to, invoicing, general correspondence, creating fliers and forms, etc.
* Maintenance of Correspondence; collecting & recording of mail in, stamp & post outgoing mail, print emails.
* Monitor / manage room bookings for meetings & site communication sessions
* Reserve space in the building communal areas when needed, including car park system management
* Purchasing kitchen & office supplies along with the maintenance of relevant logs
* Ordering and managing couriers
* Photocopying, faxing, shredding, laminating, filing,archiving
* Liaise with landlord & building administration
* Ordering of taxis for visitors & maintaining relevantlog
* Raising purchase requisitions for services & supplies for the site
* Health & Safety Representative for the Site
* Oversee office Health and Safety requirements (PAT Testing etc)
* Other duties as required by the Director of Facilities and real Estate EMEA



Job Qualifications:

* Prior experience as a receptionist or in related field along with experience in administrative duties within a fast paced, multinational environment
* Excellent written and verbal communication skills
* Competency in Microsoft applications including Word, Excel, and Outlook
* Excellent time management skills
* Abilityto maintain accurate relevant records
* Able to contribute positively as part of a team, helping with various tasks as required.

Additional Skills/Preferences:

* First Aider Qualified
* Attention to detail and ability to self-manage
* Excellent Organization and communication skills
* Confident team worker and able to integrate quickly
