Description:
My client, a not-for-profit organisation based in Blanchardstown, Dublin 15 is seeking an experienced Administrator to join their Services Departments. This is a full time, office-based, 6-month fixed term contract.
Workingwithin the Services departments, you will provide a range of support within the Property Services team and/or the Corporate Services Team and the wider organisation. You will be responsible for the smooth running of all area's including office administration, repairs, property servicing and communication with tenants.
Tasks & Duties
* Corporate Services Administration
* Assist the CEO and the Corporate Services team with a range of general administrative tasks.
* Assist in the production of documents and materials (to include typing, scanning, photocopying, presentations, and circulars) for the organisation.* Proof-reading company documents, statements, and reports.
* Drafting communications to respond to enquiries by phone, post,email or in person.
* Making bookings for events, travel and accommodation as required.
* Manage internal and external roombookings.
* Organise refreshments for staff meetings and events.
* Greet, assist and/or direct visitors to the office.
* General document management and filing.
* Management of stationery and office supplies for all offices
* Facilities Administration
* Manage contracts with service providers for head office and additional regional offices whilst ensuring office areas are professionally maintained, manage cleaning contracts and ensure collection of waste and recycling bins.
* Assist the Facilities Officer with the management of facilities across numerous locations to include upkeep of equipment, maintenance of facilities management logs and maintenance of premises and equipment.
* Quotations and purchase of office equipment, supplies andservices per company procedures.
* Ensure office areas are professionally maintained and manage cleaning contracts including ensuring collection of waste and recycling bins.
* Property Services Administration Support

* Management of stationery and office supplies for all offices and managing internal and external meeting rooms.Knowledge, Experience & Qualifications
* Third level degree or sufficient evidence of qualifications relevant to the role.
* A minimum of 2 years' experience in a busy office environment and working with various stakeholders is essential.
* High level of proficiency in MS Office Suite.
* Experience of minute taking at meetings.
* Strong ability to plan, organise andprioritise workload and take ownership of duties.
* Experience in diary management.
* Full clean drivers license with access to own vehicle.
* Experience working in the housing/community/not-for-profit sector is desirable.
