The Role
My client, a not-for-profit charity organisation is seeking an experienced Executive Assistant to join their team based in Dublin 9. This is a full time, permanent position, fully on-site with the possibility ofhybrid after probation.
As the Executive Assistant you will support the CEO and the Board of Directors as well as the SeniorLeadership Team and oversee projects. You will be the primary point of contact for internal and external constituencies on allmatters associated with the CEO.
Tasks & Duties
* Assists the CEO with daily administrative duties and completea broad variety of administrative tasks that include managing an active calendar of appointments; completing monthly expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
* Coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the SLT, and members of organisations staff.
* Communicates directly and on behalf of the CEOwith Board and Committee members and others on matters related to initiatives as directed.
* Conducts research on various aspects of the development of the organisations work as directed by the CEO as well as support the CEO assembling materials needed for proposals.
* Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with internal and external stakeholders.
* Coordinates Executive, Finance, Governance & Nominating, and Audit Committee meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support the CEO's agenda.
* Participates as an adjunct member of the SLT including assisting in scheduling and attendingmeetings. Represents the CEO in designated meetings as required.
* Assists in coordinating the agenda of senior leadership team meetings. Prepares the minutes of the meetings and designates and follows up on assigned action items.
* Assists with any other ad hoc projects and duties as required.
Knowledge, Experience & Qualifications
* 3+ years' experience as anExecutive Assistant supporting at Senior Level.
* Excellent organisation, time management and interpersonal skills.
* Excellent communication skills, both written and verbal.
* Exceptional attention to detail and accuracy.
* Previous experience indiary and calendar management (including responsibility for accommodation & travel).
* Project management experience.
*Degree/Diploma - desired.
