The Role
My client, a not-for-profit organisation based in Blanchardstown, Dublin 15 is seeking an experienced Corporate Services Office Administrator to join their team. This is a full time, office-based, 6 month fixed term contract.
As a Corporate Services Office Administrator, you will provide a range of support on administrative services with the Corporate Services team and the wider organisation including administration, communications, HR, facilities management andevent management.
Tasks & Duties
* Executive & General Administration Support
* Assist the CEO & the Corporate Services team with a range of general administrative tasks including typing, scanning, photocopying, filing, presentations and circulars.
* Proof reading company documents, statement, reports and drafting communications to respond to enquiries by phone, post, email or in person.
* Facilities Administration
* Manage contracts with service providers for head office and additional regional offices whilst ensuring office areas are professionally maintained, manage cleaning contracts andensure collection of waste and recycling bins.
* Assist the Facilities Officer with the management of facilities across numerous locations to include upkeep of equipment, maintenance of facilities management logs and maintenance of premises and equipment.
* Property Services Administration
* Notifying tenants of cyclical works, planned maintenance works, stock conditionsurveys and focus group meetings.
* Administration for Tenant Alteration Requests and for Local Authority Audits.
* Health& Safety Administration
* Preparation & circulating of agenda for meetings, minute taking at meetings and follow up on actions arising from meetings.
* Ensure supplies of H&S equipment are kept up to date, ordering equipment and maintaining the organisations PPE log.
* Communications and Event Administration
* Supporting the Executive Officer on all Corporate Communications matters.
* Supporting the Corporate Services team in organising events, launches and promotions.
* HR Administration
* Assist the Executive Officer in all aspects of HR administration including support on all aspects of therecruitment process and responding to all emails in the recruitment inbox.
* Generate staff ID cards, business cards and office keys when required.
Knowledge, Experience & Qualifications
* Third level degree or sufficient evidence of qualifications relevant to the role.
* A minimum of 2 years' experience in a busy office environment and working with various stakeholders.
* High level of proficiency in MS Office Suite.
* Experience of minute taking at meetings.
* Strong ability toplan, organise and prioritise workload and take ownership of duties.
* Experience in diary management.
* Full clean driverslicense with access to own vehicle.
* Experience working in the housing/community/not-for-profit sector is desirable.
* Onlycandidates currently residing in Ireland with full working rights will be considered for this role.
